Our client is a specialist UK provider of retirement income products and services for both individual and corporate clients. As retirement specialists, our client looks to positively disrupt markets in order to deliver better outcomes for their customers.

The organisation had an existing HR operations team in place but wanted to reduce headcount and spend in the HR team by outsourcing HR administration and Employee Relations advice to a single external supplier.

Following a competitive tender process, we were awarded the HR Outsource contract and have been delivering HR administration for all employees and an employee relations advice service for Leaders and Line Managers within the business since late 2020. The service delivers a flexible, scalable, value for money and best in class HR administration and employee relations service for their employee population.

We have supported the organisation to improve and streamline HR administration processes, whilst also focussing on delivering an exceptional experience for employees. We have adopted existing HR technology, overlaying this with new ticket and case management systems so that we can provide robust data and MI on service utilisation – data which is now being used to inform business decisions and identify further training needs. As part of the Employee Relations advice service, we continue to upskill Line Managers on key topics where the most common enquires arise from, in order to reduce reliance on the service and the number of employee relations issues which need to be escalated.

Following the successful delivery of a recruitment project in 2021, in January 2022 the scope of the partnership was increased to also include delivery of a Recruitment Process Outsource service for the organisation for all permanent and contractor hires, so the organisation continues to benefit from just engaging with one single provider for their HR and recruitment needs.

Service highlights so far include:

  • 385 placements made across the business and all office locations
  • Reduction in recruitment spend – £140,000 of savings generated in year 1
  • 80% direct hiring rate, reducing third-tier agency spend
  • 16,474 HR Administration tickets resolved – resolution and response times for HR Administration tickets reduced from 48 hours when internally managed to 6 hours via the outsource delivery team
  • 253 Employee Relations cases resolved
  • Introduction of monthly MI packs, providing meaningful data to inform HR decision
